Privacy at RepHQ
RepHQ is an early-stage pilot run by Thomas (thomas@rephq.dev) and Axel (axel@rephq.dev). This page explains what personal data we handle, why, and how to reach us about it. We've kept it short on purpose — there's no tracking, advertising, or resale of data here, and we'd rather say plainly what we do than bury it.

If you signed up as a BDR
We collect what you give us at registration — name, email, phone number, domain/industry, calling preference — and what you produce by using RepHQ: the calls you log (outcome, notes, sentiment), your earnings record, and your level. We use this to run the marketplace: matching you with campaigns, tracking what you're owed, and operating the leaderboard.
Two things to know before you start calling:
- Your performance is visible to others. The leaderboard shows your conversion and activity stats to other users, and companies whose campaigns you work see your activity on those campaigns.
- Your earnings record is the agreed reference for what companies owe you, so we keep it even after a campaign ends.
If you signed up as a company
We collect your registration and business details — company name, your name and email, business description, target audience, ideal customer profile, and any call scripts you add — and use them to run your campaigns and show them to BDRs in the marketplace.
The contact lists you upload are handled as described in the next section. You're responsible for having the right to share those contacts with us — only upload business contacts you lawfully hold.
If you connect Google Calendar (for meeting scheduling), we access busy/free times only — never event contents — and we store the connection credential encrypted. You can disconnect at any time in your settings.
If you've never used RepHQ but we have your details
You may be in our system because a company uploaded your business contact details (name, work phone and email, employer, and related firmographic data) so that a sales rep could call you on their behalf. If a meeting was arranged, we also sent you a calendar invite by email.
We process this on the basis of the uploading company's and our legitimate interest in business-to-business prospecting. We record the outcome of calls (whether you answered, whether a meeting was booked, and brief notes) to run the campaign.
You can object at any time. Email thomas@rephq.dev and we'll delete your details and make sure you aren't contacted again through RepHQ. You can also ask us what we hold about you, or ask us to correct it.
What we don't do
- No analytics, advertising, or tracking cookies — the only cookies are the essential ones that keep you signed in.
- No selling or renting of any data, ever.
- No call recording. Calls in the current version are made from the rep's own phone and are not recorded by RepHQ. (If a future version adds an integrated, recorded dialer, this notice will be updated first and a recording disclosure will play on calls.)
- Uploaded CSV files are not kept — only the mapped contact fields are stored; the raw file is discarded at import.
Who else touches the data
We use a small number of service providers to run RepHQ: hosting and database infrastructure, an email delivery provider (for account emails, notifications, and calendar invites), Google (busy/free calendar checks, only where a company member connects their calendar), and business-data enrichment tools used to complete uploaded contact lists. They process data only to provide those services to us.
How long we keep things
For the duration of the pilot and no longer than needed for the purposes above. Specifically: prospect contact details are deleted on objection or when the campaign they belong to is over and no longer needs them; account data is deleted on request when you close your account, except earnings records, which both sides may need as the reference for what was owed and paid.
Your rights
If you're in the EU/EEA, the GDPR gives you rights of access, correction, deletion, objection, and portability over your personal data, and the right to complain to your data protection authority. Wherever you are, we'll honor access, correction, deletion, and objection requests at thomas@rephq.dev or axel@rephq.dev.
